Voicemail vs. missed-call text back for HVAC and plumbing.
If you run an HVAC or plumbing company, voicemail feels like a safety net. The phone rings while you are on a job, nobody picks up, and the box is there. The problem is what the caller does when they hear the beep.
This compares what a recording catches with what a missed-call text back catches, for shops in Los Angeles County, including Glendale, Pasadena, Burbank and the Foothills. The phone problem is the same anywhere.
In this guide: The short answer · What voicemail catches · Home-services calls · Voicemail-to-text · How text back works · Keep or turn off · Greeting scripts · Text rules · Los Angeles County · Questions
The short answer: keep voicemail, stop relying on it.
Voicemail catches a person who stays on the line and talks. A missed-call text back starts because the call was missed, including the people who hang up at the beep. Neither one covers everyone. Landlines and people who will not text still need a callback. People who will not leave a message need something other than a recording.
| Caller | Voicemail | Text back |
|---|---|---|
| Hangs up at the beep | Nothing is saved. | A new caller is asked if they want to continue. |
| Leaves a message | You get a recording. | The text never starts. Voicemail already answered that call. |
| Landline, or will not text | A recording, if they left one. | No thread. You still have the number. |
| You, on a job | A recording to check later. | A thread, if a new caller replies YES. |
| Asks for an arrival time | Whatever the greeting promised. | The text does not promise a visit or a time. |
Keep the box for the people who will use it. Stop treating the recording as the follow-up plan.
What actually happens when a caller hits voicemail.
A 2016 Moneypenny study looked at call data from 10,000 businesses and surveyed 300 micro businesses. Of the callers who reached voicemail, 69% hung up without leaving a message. The same write-up said 71% of small and medium businesses let calls go to voicemail. It is a 2016 study, not a fresh count of U.S. HVAC shops.
The callback has its own problem. Pew Research surveyed 10,211 U.S. adults from July 13–19, 2020, and published the results on December 14, 2020. Eighty percent of U.S. adults said they generally do not answer a cellphone call from an unknown number. Nineteen percent generally do. Sixty-seven percent do not answer but check voicemail if one is left. Fourteen percent ignore the call and the message. Adults 18 to 29 were more likely to pick up an unknown number than older adults. If you call a missed caller back, leave a short message that says the shop name. Many people will not pick up the live call.
So the greeting, and the first text, have one job before anything else: say who is calling. "Oakfield Heating & Air" and "Clearbrook Plumbing" are names a person can recognize. "Unknown" is not.
What the home-services numbers say.
Invoca's July 2026 Home Services Lead Conversion Benchmarks report averages anonymized calls from Invoca customers, inside a broader set of more than 70 million calls. 52% of callers to home-services businesses speak with a person. For calls lasting longer than 15 seconds, which filters out misdials and quick hang-ups, the answer rate is 65%. For calls over 30 seconds, it is 73%.
Of the calls a person did answer, 38% were leads, and 45% of those leads converted on the call. Fifty-five percent of the businesses do not ask leads to buy or book the job. Answer rates by sub-industry range from 32% to 74%. These are averages for businesses on that platform. Use your own call log.
Voicemail-to-text is not the same as text back.
Voicemail-to-text turns a recording into words on a screen. It only exists after someone leaves a message. If they hung up, and the 2016 study says 69% of people who reached voicemail did, there is nothing to transcribe. You get an empty mailbox and a missed-call entry.
A missed-call text back starts from the missed call. The caller does not have to talk to a machine first. It still fails when the phone is a landline, or when the person will not reply. A transcript does not ask permission or collect an address. A text thread can, and it stops when they reply STOP.
How a missed-call text back works.
Your phone still rings first. You set no-answer forwarding so only the calls you do not pick up leave your line. The carrier codes, the landline codes, and the phone-system clicks are in how to forward unanswered calls. This page does not repeat them. One rule from that guide matters here: if voicemail or a phone menu answers first, the call never gets forwarded, and the text never starts.
- The shop phone rings. If you answer, nothing changes.
- If you do not, the call forwards to the shop's dedicated StreamLeadX number. The text does not come from the shop's own line.
- The caller hears a short message that the shop will text them. Then the call ends. They cannot leave a voicemail on that forwarded call.
- Only a new caller gets the permission ask. With the shop name filled in, Clearbrook Plumbing's copy is: "Hi, it's the Clearbrook Plumbing text line. Sorry we missed your call! We'd love to help by text. Reply YES to continue, or STOP to opt out." Oakfield Heating & Air uses the same sentence with its own name. A caller who already replied YES skips that ask. The next text uses the shop name, and their name when it is saved, and asks what they need.
- A new caller replies YES before the thread continues.
- The thread collects a name, the service, the address, how urgent it is, and a time they prefer. It does not invent a time. It does not quote a price. The price line is: "I can't give a price by text. The team will give you a quote."
If the account is paused, or a new caller is over the plan's conversation limit, the caller hears a different short message asking them to try again later. No text goes out on that call.
Any mention of a leak is marked urgent, and so are flooding, no heat, no AC, and a gas smell. The alert names what they reported. A gas smell is handled first: the text tells them to leave and call the shop's gas utility or 911. StreamLeadX does not monitor emergencies and does not dispatch. See the HVAC page, the plumbing page, and missed-call text back.
Should you turn voicemail off?
On many cell plans, no-answer forwarding is how voicemail works. Once unanswered calls forward somewhere else, they go there instead of the carrier mailbox. You do not get a recording and a text from the same missed call. Pick the destination on purpose.
Solo, on the tools
Forward unanswered calls if you want a text. Call back anyone who does not reply. Keep voicemail only on a line you are not forwarding.
Office staff during the day
Let a person answer first. Use the text for the overflow you still miss. Do not let the mailbox pick up before the forward.
After hours
A text can hold the name, the address, and the problem. If the caller asks about timing or coming in while you're closed, the text can say the shop is closed and someone will reach out after it reopens.
Turning the mailbox off with no forward and no callback drops the landline caller and the person who will not text. Unanswered calls on this line should go to one place, and you should know which place.
Voicemail greeting scripts for a line that still records.
Use these only on a line that still reaches your voicemail. They ask for a name, address, and problem. They do not promise that a text will be sent for them. If unanswered calls already forward, the caller hears a short message that the shop will text them, not the script you record here. Do not promise an arrival time.
HVAC, during the day
You've reached Oakfield Heating & Air. We can't take this call. Leave your name, the address, and the problem. If you smell gas, leave the home and call your gas utility or 911. We don't promise an arrival time on this recording.
Plumbing, during the day
You've reached Clearbrook Plumbing. We're on a job. Leave your name, the address, and the problem. If water is running and you can reach the shutoff safely, turn it. We don't promise a time.
After hours
You've reached Clearbrook Plumbing. The office is closed. Leave your name, the address, and the problem. If you smell gas, leave the home and call your gas utility or 911. This recording does not send a technician.
Rules for an automated text.
A text that shows up after a missed call has to do four plain things.
- Say who you are. The first text includes the shop name: "Hi, it's the Clearbrook Plumbing text line."
- Ask before you continue. That permission sentence is only for a new caller. The thread does not start until they agree. Someone who already said YES is not asked again.
- Honor HELP and STOP. Callers can reply STOP to opt out at any time, and HELP for help. After STOP, no further texts go to that number. The SMS policy has the replies.
- Use a registered texting number. Business texting numbers have to be carrier-registered (A2P 10DLC) as part of setup where it applies. The terms describe that registration.
For shops in Los Angeles County.
The same choice shows up in Los Angeles County, including Glendale, Pasadena, Burbank and the Foothills. A truck in Burbank and a truck in Pasadena miss calls for the same reason: the person who would answer is already on a job. The studies above are not a count of those cities.
Put the shop name in the greeting and in the first text. Make sure the number on your Google listing is the line you set up, then place one test call from a different phone. If a text is what you want on the misses, see pricing and the demo.
Want the missed call to start a text, not a recording?
That is what StreamLeadX does for HVAC and plumbing. You still answer. Unanswered calls can be forwarded to your StreamLeadX number. The caller hears a short message that the shop will text them. A new caller is asked for permission. You get the lead, and you decide what happens next.

Questions
Do customers still leave voicemails?
Some do. A 2016 Moneypenny study of call data from 10,000 businesses, plus a survey of 300 micro businesses, found that 69% of callers who reached voicemail hung up without leaving a message. Keep a box for people who will use it. Do not treat the recording as the booking plan.
Should I turn off voicemail on my business phone?
Not as a blanket rule. If unanswered calls forward to a text-back number, they go there instead of carrier voicemail, and that caller does not leave a recording. Landlines and people who will not text then have no message. Call that number back, and keep voicemail on any line you do not forward.
What's the difference between voicemail-to-text and a missed-call text back?
Voicemail-to-text transcribes a message someone left. If they hung up, there is nothing to transcribe. A missed-call text back sends a text because the call was missed. A new caller is asked to reply YES before the conversation continues. Someone who already said YES is not asked again.
What should an HVAC or plumbing voicemail greeting say?
Say the shop name, that you missed the call, and ask for a name, address, and the problem. Do not promise that a text will be sent for them, and do not promise an arrival time. If they might smell gas, tell them to leave the home and call the gas utility or 911. Those scripts are for a line that still reaches voicemail.
What if the caller is on a landline or doesn't text back?
You still have the number from the missed call, and you can call them back. They will not have a text thread. A Pew Research survey from 2020 found that 80% of U.S. adults generally do not answer cellphone calls from unknown numbers, while 67% do not answer but do check voicemail. If you call back, leave a short message that says the shop name.
